How to Filter and Export One User's External File Shares

To audit a specific user's external file sharing, you can filter Drive File Sharing by owner and export the results to CSV.


Before you begin: You'll need admin access to Patronum and the user's email address.


Filter by Owner

  1. Navigate to Drives > File Sharing in the left sidebar.
  2. Apply a filter to narrow results. For example, use domain = yourDomainName or external = true to show external shares.
  3. Select the checkbox next to the specific user you want to audit.


Export to CSV

  1. With the user selected, click Export Files CSV. This button only appears after you select at least one user.
  2. The export queues in the background. Navigate to Dashboard > Live Tasks to monitor progress.
  3. Once you see "Files export completed!" in Live Tasks, download the CSV.


The CSV includes columns for E-Mail, Name, URL, Role, Owner, Created, and Last Modified. The "Owner" column shows who owns each file, and "Role" shows the selected user's permission level.


Alternative: View Per-User Files

For a quick view of a single user's files without exporting:

  1. Navigate to Users and select the user.
  2. Click the FILES tab to browse their My Drive and Shared Drives.

This method provides visibility into files but doesn't offer bulk export or filtering by sharing type. For detailed sharing audits, use the File Sharing export method above.


Exports are not immediate downloads. Always check Dashboard > Live Tasks to retrieve your completed CSV file.
