How to share Google Calendars with other users

Use Patronum's Policy engine to automatically share Google Calendars with specific users or groups. This is useful for giving managers access to team calendars or ensuring assistants can view executive schedules.

Before you begin: You'll need admin access to Patronum and permission to create policies.

Share calendars using a policy

  1. From your Patronum dashboard, go to Policies and click New Policy.
  2. Name your policy (e.g., "Share team calendars with manager").
  3. In the Targets tab, select the users or groups whose calendars you want to share. You can choose specific users, organizational units, or All Users.
  4. Go to the Calendars tab.
  5. In the Sharing section, find Share user's primary calendar.
  6. Click ADD or the + icon.
  7. Enter the email address of the person who should receive access.
  8. Select a permission level:
    • See all event details — View full event information
    • Make changes to events — Edit existing events
    • Make changes and manage sharing — Edit events and modify sharing settings
  1. Click Save to create the policy.

The policy will automatically apply sharing permissions to all targeted users' calendars. When new users are added to the target group or OU, their calendars will be shared automatically.
