Setting to email routing to a Google Group when offboarding

Within Google Workspace it is common to set up email routing to forward emails to another address or group when a user is removed. As part of a Patronum offboarding policy this can be achieved by the following steps:-

Within the SETTINGS tab of the policy expand the Security section.

Configure the User Renaming section.

Rename User

Using the {{ username }} variable will take the leavers primary email address. You can then include identifiers such as "ex" or "leaver" before or after the variable.

Assign a Google Group as the email routing method.

Assign Google Group as email routing address.

You may select either an existing Google Group, or dynamically create a new Google Group based on the users original email address.

Add a Group Owner, such as the users {{ manager }} or another Google Workspace account.

If required configure an email label and filter within the Group owners Gmail so that emails to the group are automatically labelled.

Advanced options are also available via the Cog Icon.

Make sure that the Google Group is able to receive emails from external sources by enabling "Publish posts" within the Roles and permissions section. You may also want to hide the group from the Google Directory.
